Reserving Group Study Rooms in Alter Hall/CLC

Xavier students can reserve the following group study rooms:

  • Alter Hall: 005, 109, 209, 210
  • CLC: 214, 215, 414, 415, 416, 417, 420, 423, 525, 536

There is also a lactation room available for current Xavier students, faculty, and staff in CLC 409.

Creating a reservation

Rooms can be reserved using the Office365 web calendar. To do this:

  1. Login to Xavier webmail at
  2. In the upper left corner, open Calendar.

  3. Click New >> Calendar Event.

  4. Supply a title for the study session (including your name) as well as the date, start and end times.

  5. Click in the Add a location or a room field and choose Add Room from the pulldown menu.
  6. Choose a room by clicking on it. Eligible rooms are listed with (STUDENT STUDY), as shown in the example below:

  7. Click Send to finalize the request. The event will appear in your calendar and you will also receive an email confirmation informing telling you if the room reservation is Accepted or Declined. In addition to the email message, Accepted or Declined information will also appear in the calendar event itself. Always verify your event is Accepted!

Although conference rooms and other spaces on campus may show as (Free) in the list, students may not reserve these unless they have prior permission to do so from faculty or staff. Please use these instructions to reserve group study rooms and the lactation room only, even if the other rooms show as (Free) in the room list or show Accepted once the reservation has been made.

Canceling a reservation

Occasionally a reservation may show as Declined or you may need to reschedule your reservation. You will need to cancel the reservation to delete it from your calendar and schedule a new reservation in a different room or at a different time. To do this:

  1. Open your Calender in Office 365.
  2. Locate the event in your calendar and click on it.
  3. Choose Cancel.

  4. From the menu, choose Send cancellation now.
